SOUTHSIDE GREEK PICNIC

Join us for a day of fellowship, fun, and community at the Southside Greek Picnic hosted by the National Pan-Hellenic Council of Clayton-Henry Counties of Georgia (Clayton-Henry NPHC). This exciting outdoor event brings together members of the Divine Nine, alumni, families, and community supporters to celebrate unity, culture, and service.Whether you are representing your fraternity or sorority or simply looking to enjoy great food, music, and fellowship, this event offers something for everyone.We also encourage attendees to bring a donation to support our community service initiative benefiting local families in need.​

🌟 Greek Stroll Showcase: Get ready to witness the ultimate display of grace, rhythm, and unity at our Greek Stroll Showcase! Step into the world of Greek life as fraternities and sororities come together to showcase their unique strolling routines.​

Community Service Initiative

We will be collecting donations to support local community organizations. Suggested items include:

  • Deodorant

  • Toothpaste & toothbrushes

  • Soap & hand sanitizer

  • Feminine hygiene products

 

Your support helps us continue our mission of community uplift and service.

 

Vendor Information - PLEASE READ ALL OF THE BELOW

 

Setup 

Set up begins at 10:00 AM. All booths must be set up by 12:00 PM - Please note that water and electricity will not be provided. Vendors are responsible for bringing their own tables, chairs, tents, extension cords, and any other materials needed for setup.

 

Breakdown

All vendors must begin dismantling your area immediately following the conclusion of the event. You must be finished by 9pm. All trash must be removed by the vendor prior to leaving.

 

Vendor Fee: $85.00 per space/each Deadline for Application - Friday, May 15th 2026 - 8:00 PM - Space is limited and vendor locations will be assigned on a first come, first served basis. Vendor spaces may be filled prior to the deadline.

 

Vendor Guidelines

  • This is an outdoor festival and will take place rain or shine.

  • Your application must specify in detail all goods to be sold at your booth.

  • With the exception of Food Trucks and trailers, all goods must fit in a 10x10 space. If you need more space, an additional spot will need to be purchased.

  • The person signing the application must be present at the booth and is responsible for all activity at their booth during the event.

  • Business Name and Booth Number must be clearly displayed in a conspicuous location at your booth at all times. Site inspections will be conducted throughout the event to ensure this information is displayed.

  • Each applicant shall respect the boundaries for the spaces designated by the event coordinator.

  • The Clayton-Henry NPHC is not responsible for any lost, damaged or stolen items during or after the festival.

  • The Clayton-Henry NPHC reserves the right to prohibit the sale of inappropriate/counterfeit items at the discretion of event staff. This includes but is not limited to items which display offensive or obscene language and/or graphics, alcoholic beverages, or any such product or services that does not properly represent the vision of the city.

  • Vendors must remove all trash, including cooking oil/grease. No grease or gray water is to be poured onto the ground or down any drains. Anyone found doing this will be required to leave the event. You will be responsible for any & all environmental cleanup costs & subject to prosecution by city or state officials.

  • Trash: Vendors are responsible for collecting & properly disposing of all trash within your booth(s).

  • The event staff may require removal of items that violate any festival rules.

  • Electricity/Water are not provided by the City, Event Host, etc. Plan ahead to provide your own alternate sources.

  • Pets (Animals): Pets and animals must be leashed. Any animal deemed to be a threat must leave the premises.Sales Tax: You are required to collect and report your own sales tax.

  • Event Day Details: All vendors will receive an email from the vendor coordinator with details about load in time and parking instructions at least 1 week prior to the event.

 

Parking: Please limit parking to no more than two vehicles per booth in the designated parking areas. Vehicles will NOT be allowed to be parked at the vendor booth during the event. Only vehicles will be allowed in the event area for loading and unloading (before and after the event). Be sure that someone who is able to maneuver your vehicle, food truck, or trailer is present. Clayton Henry NPHC volunteers shall not park your food truck or trailer in the festival area. Nor drive your vehicle in and out of the festival area.
