Clayton-Henry NPHC Open Vendor Opportunities - PLEASE READ ALL OF THE BELOW

Setup:
Saturday, August 23rd - Set up begins at 1:00 PM. All booths must be set up by 4:00 PM
Saturday, August 30th - Set up begins at 6:00 AM. All vendors must be set by 8:00 AM
Breakdown:
Saturday, August 23rd - You must begin dismantling your area immediately following the conclusion of the event. You must be finished by 10pm. You may not begin dismantling your booth before the event is over. All trash must be removed by the vendor prior to leaving.
Saturday, August 30th - You must begin dismantling your area immediately following the conclusion of the event. You must be finished by 4pm. You may not begin dismantling your booth before the event is over. All trash must be removed by the vendor prior to leaving.
Space Fee: $85.00 per space/ each
Vendors (food [no trailers] and non-food): $85.00 per space
Food Trucks and Trailers: $85.00
Deadline for Application:
Monday, August 15th 2025 - 8:00 PM
Failure to return the application & registration fee by the deadline will result in the loss of your opportunity to participate in the festival. Absolutely no late or day-of-event applications will be accepted. Be remember that vendor spaces can be full prior to the deadline.
Refunds:
Refunds will be issued for vendors that cancel if received by Friday August 1st by 4:00pm.
No refunds will be issued for any reason after this date.
*Refund Deadline has passed - NO REFUNDS WILL BE ALLOWED IF THE VENDOR CANCELS!!!
Space Usage Rules:
• There are a limited number of spaces available for the event; it is wise to return your application as soon as possible. Be mindful that there may be competing vendors that will be selling similar items. We will not be placing a limit of like vendors.
• This is an outdoor festival and will take place rain or shine.
• Your application must specify in detail all goods to be sold at your booth.
• All vendors must have a tent.
•With the exception of Food Trucks and trailers, all goods must fit in a 10x10 space. If you need more space, an additional spot will need to be purchased.
• Applicant is responsible for providing their own tent, chairs, and tables. Event host will not provide tables, chairs, electricity etc.
• The person signing the application must be present at the booth and is responsible for all activity at their booth during the festival.
• Business Name and Booth Number must be clearly displayed in a conspicuous location at your booth at all times. Site inspections will be conducted throughout the event to ensure this information is displayed.
• Each applicant shall respect the boundaries for the spaces designated by the event coordinator.
• The Clayton-Henry NPHC is not responsible for any lost, damaged or stolen items during or after the festival.
• The Clayton-Henry NPHC reserves the right to prohibit the sale of inappropriate/counterfeit items at the discretion of the festival staff. This includes but is not limited to items which display offensive or obscene language and/or graphics, alcoholic beverages, or any such product or services that does not properly represent the vision of the city.
• Vendor must remove all trash, including cooking oil/grease. No grease or gray water is to be poured onto the ground or down any drains. Anyone found doing this will be required to leave the event. You will be responsible for any & all environmental cleanup costs & subject to prosecution by city or state officials.
• Trash: Vendors are responsible for collecting & properly disposing of all trash within your booth(s).
• The festival staff may require removal of items that violate any festival rules.
Event Day Details: All vendors will receive an email from the vendor coordinator with details about load in time and parking instructions at least 1 week prior to the event.
Parking: Please limit parking to no more than two vehicles per booth in the designated parking areas. Vehicles will NOT be allowed to be parked at the vendor booth during the event. Only vehicles will be allowed in the event area for loading and unloading (before and after the event). Be sure that someone who is able to maneuver your vehicle, food truck, or trailer is present. Clayton Henry NPHC volunteers shall not park your food truck or trailer in the festival area. Nor drive your vehicle in and out of the festival area.
Electricity/ Water: THESE SERVICES ARE NOT PROVIDED BY THE CITY, EVENT HOST, ETC. . Plan ahead to provide your own alternate sources.
Pets (Animals): Pets and animals must be leashed. Any animal deemed to be a threat must leave the premises
Sales Tax: You are required to collect and report your own sales tax.

FAQ's
What events are vendors needed?
2nd Annual Southside Greek Picnic - August 23rd - 4pm - 9pm
3rd Annual 5K Run/Walk - August 30th - 8am - 3pm
How much is the vendor fee and what does it include?
The vendor fee is $85 and is NON-REFUNDABLE. It only includes the vendor space. All vendors must bring their own table, tent, chairs and generator if electricity is needed.
What time will vendors be allowed to setup?
Vendors will be allowed to setup at least one hour prior to the start of the event. All registered vendors who have completed the application and paid all vendors fees, will receive instructions at least 7 days prior to the event.
Vendor Fees & Sales
All vendor registration fees are final and nonrefundable. We do not guarantee sales for vendors. All transactions are between vendors and customers. Clayton-Henry NPHC shall not be held liable for any issues or transactions between vendors and customers. Fee structure may include and Early Bird Discount option that will only be available for a limited time. After the designated deadline the price may increased with or without notification but will be reflected on vendor registration page.
Food Truck Vendor Information
You must have proper insurance and current Food and Sanitation/Safety certifications to sell to the public. Vendors may be required to complete a fire marshal inspection. For events held in Henry county: An inspection is required 5 days prior to the event. No refunds will be provided if inspection is failed or is not completed or if your business credentials cannot be verified either before or during the event should an inspection occur. There may be a fee required which business owners will be responsible to pay. Please contact the county event permit department for more information about all vending requirements prior to event and prior to registering as a vendor.
